Childcare management solutions with child health records done right

Enrollment and billing are the easy part of running a childcare centre. The hard part is knowing, at any moment, which child is due an immunization, who has a severe allergy and which medication was given when. Agnotic Technologies builds childcare management software that puts those records next to attendance, parents and licensing.

    Industry Overview

    What are childcare management solutions?

Childcare management solutions are the software a childcare centre runs on: enrollment, attendance, billing, parent communication, staff records and the child health records licensing asks for. Agnotic Technologies builds childcare management software with immunization and allergy records, medication logs and incident reports designed into the child record from the first release.

    Child health records

Which health records does a childcare centre keep?

The records that sit behind every child's file. Each one needs an owner, a due date or a parent signature.

    Immunization records

Each child's status against the schedule your state follows.

    • Parent upload and staff verification
    • Due and overdue doses flagged
    • Exemptions recorded with their documents

    Allergies and care plans

Information staff need in the room, not only in the office.

    • Allergy and care plan shown at meal times and on rosters
    • Emergency medication location
    • Plan review dates

    Medication administration

    Every dose, with consent.

    • Parent consent on file before the first dose
    • Dose, time and staff member logged
    • Parent notified after each dose

    Incident and injury reports

What happened, what was done and who was told.

    • Report started on a tablet in the room
    • Director review
    • Parent acknowledgement recorded
    Industry Challenges

Where do childcare systems fall short on child health?

Most childcare software was built around billing, and the health side shows it.

    • Immunizations as scanned files: a PDF in the child's folder, with no due date anyone is reminded about.

    • Allergies in the office: the information exists, but not on the classroom roster or the lunch list.

    • Paper medication logs: consent, dose and time on separate sheets, which is hard to check and harder to show an inspector.

    • Inspection scramble: records are pulled together the week of a licensing visit instead of being kept current.

    Decision table

Should you build custom childcare software or extend a platform?

Both paths are reasonable. The right one depends on how far your programs differ from a standard centre.

    Our Approach

How do we design the child record?

One record per child that every part of the system reads from.

    Health next to attendance

Allergies and care plans appear on the roster when a child is checked in, not in a separate screen.

    Due dates, not files

Immunizations and documents carry a status and a due date, with reminders to parents and the director.

    Consent before action

Medication and photo permissions are checked by the system before staff can record the action.

    Every entry attributed

Who recorded each dose, incident or check-in, and when, kept for the licensing record.

    Capabilities

What do we build into childcare management solutions?

Modules we build for centres and multi-site groups, alone or as one system.

    Enrollment and waitlist

Online applications, waitlist order, enrollment packets and parent signatures.

    Attendance and pickup

Check-in and check-out by parent or kiosk, authorized pickup lists and room ratios.

    Child health records

Immunizations, allergies, care plans and medication logs with due dates and consent.

    Incident reports

Reports started in the room, reviewed by the director and acknowledged by parents.

    Parent app and messages

Daily updates, photos with permission, messages and document requests.

    Billing and subsidies

Tuition, family accounts, subsidy attendance records and payment processing.

    Engagement Model

How do we build childcare management solutions?

How to build childcare management solutions one centre at a time. Timing depends on scope, and we agree a fixed first release on the scoping call.

    01

    Scoping call

We agree which modules come first, the states you operate in and the systems to connect.

    02

    Day in the centre

We walk a full day with a director and room staff, from first drop-off to last pickup.

    03

    Fixed-scope first release

The child record with health records, attendance and the parent app for one centre.

    04

    Roll out

More centres and modules, with data moved from your current system and staff trained per site.

    05

    Support and change

Rule changes, new programs and reports under agreed support terms.

    Facts and sources

    Which rules shape childcare records?

Short facts behind the records childcare software has to keep, each linked to its primary source.

    • Child care health and safety requirements under the Child Care and Development Fund must cover, at a minimum, topics that include the prevention and control of infectious diseases (including immunizations), administration of medication consistent with standards for parental consent, and prevention of and response to emergencies due to food and allergic reactions.

      Source: 45 CFR 98.41(a)(1) (eCFR)
    • Lead Agencies must assure that children receiving Child Care and Development Fund services are age-appropriately immunized, following the latest childhood immunization recommendation of their State, territorial or tribal public health agency.

      Source: 45 CFR 98.41(a)(1)(i)(A) (eCFR)
    • For licensed child care providers and facilities serving children with Child Care and Development Fund assistance, Lead Agencies must require at least one pre-licensure inspection and an unannounced inspection at least annually for compliance with health, safety and fire standards.

      Source: 45 CFR 98.42(b)(2) (eCFR)
    • A child care center in the Child and Adult Care Food Program must keep enrollment documentation that is updated annually, signed by a parent or legal guardian, and shows each child's normal days and hours of care and the meals normally received.

      Source: 7 CFR 226.15(e)(2) (eCFR)
    • HIPAA covered entities are health plans, health care clearinghouses, and health care providers that transmit health information in electronic form in connection with a HIPAA standard transaction.

    Frequently Asked Questions

Usually not to the centre itself. HIPAA covers health plans, clearinghouses and health care providers that conduct standard electronic transactions, which most childcare centres do not. We still treat child health records as sensitive: encrypted, access by role and every view logged. State privacy and licensing rules may also apply.
